How to evaluate an AI workflow tool

A polished demo is not proof of fit. Evaluate a workflow tool against one representative process, its real constraints, and the people responsible for the result.

Test one complete scenario

Use realistic inputs, including incomplete and ambiguous cases. Ask the tool to show what it used, what it changed, and where the final result is recorded. Do not use live confidential data merely to speed up a trial.

Questions worth answering

Evaluate maintenance, not just launch

Someone must own changes to prompts, rules, integrations and access. Plan for that owner before rollout. If nobody can explain the workflow after its builder leaves, it is not operationally ready.

Decision rule: select the smallest tool that meets the actual workflow need and leaves a clear audit trail. More features do not automatically mean more control.
